Ag Women Connect respects the privacy of our members, visitors, partners, sponsors, businesses, donors, event participants, and the agricultural community we serve.

This Privacy & Data Use Policy explains how Ag Women Connect collects, uses, protects, retains, and discloses personal information through agwomenconnect.com, membership services, member accounts, directories, Ag. Connected, events, communications, sponsorship programs, forms, applications, and other services operated by Ag Women Connect.

Where Ag Women Connect Foundation operates a separate program, donation activity, scholarship, grant, hardship-assistance program, or other charitable activity, the Foundation may act as a separate organization (entity) responsible for information collected for that purpose.

  1. Information We May Collect

Depending upon how you interact with Ag Women Connect, we may collect:

    • name;
    • email address;
    • telephone number;
    • mailing or billing address;
    • username and account information;
    • membership type and membership history;
    • payment and transaction information;
    • business name, occupation, agricultural role, professional information, and business contact information;
    • profile photographs and other images;
    • social-media profiles and website addresses;
    • chapter affiliation;
    • event registrations and attendance information;
    • sponsorship information;
    • directory and Ag. Connected submissions;
    • newsletter and communication preferences;
    • information submitted through forms, surveys, applications, contests, programs, or communications;
    • stories, articles, comments, photographs, videos, recordings, or other content voluntarily submitted to us;
    • device, browser, IP address, website activity, cookies, analytics information, and similar technical information; and
    • other information you voluntarily provide.

We seek to collect only information reasonably necessary for the purposes described in this Policy.

  1. Information Intended for Public Display

Certain Ag Women Connect services are specifically designed to promote connection and visibility.

When you submit information for a member directory, business directory, Ag. Connected listing, speaker profile, article, public event listing, sponsorship profile, or other public-facing feature, information designated for publication may become publicly available.

This may include your:

    • name;
    • photograph;
    • business name;
    • professional title;
    • biography;
    • agricultural interests or role;
    • business contact information;
    • website;
    • social-media links;
    • submitted content; and
    • other information you authorize for publication.

Public information may be indexed by search engines, cached, linked to, archived, shared, or collected by third parties outside Ag Women Connect’s control.

Ag Women Connect will provide reasonable methods for requesting correction or removal of information we control, but removal from our systems cannot guarantee removal from search-engine caches, archives, screenshots, or copies independently maintained by others.

  1. How We Use Information

We may use personal information to:

    • create and administer memberships;
    • authenticate member accounts;
    • provide membership benefits;
    • operate chapters and member programs;
    • maintain member and business directories;
    • operate Ag. Connected;
    • process transactions;
    • manage events and registrations;
    • administer sponsorships;
    • communicate about programs, membership, events, resources, and organizational updates;
    • deliver requested newsletters and communications;
    • respond to inquiries;
    • provide customer and member support;
    • prevent fraud, abuse, unauthorized access, and security incidents;
    • maintain and improve our website and services;
    • understand website usage and performance;
    • comply with legal, accounting, regulatory, and contractual obligations;
    • protect Ag Women Connect, its members, users, and others; and
    • carry out other purposes disclosed when information is collected.

We will not use personal information for a materially different purpose without providing additional notice or obtaining consent when required by law.

  1. Payments

Payments may be processed through third-party payment processors and commerce platforms.

Payment-card information submitted through a payment processor is subject to that provider’s systems and privacy practices. Ag Women Connect may receive transaction-related information such as your name, billing information, transaction amount, membership or product purchased, payment status, and transaction identifier.

  1. Cookies, Analytics & Similar Technologies

Ag Women Connect may use cookies and similar technologies necessary to:

    • operate the website;
    • maintain sessions and account access;
    • remember preferences;
    • provide security;
    • measure website performance;
    • understand website activity;
    • support communications; and
    • where implemented, measure marketing effectiveness.

Some technologies may be provided by third parties.

Where applicable law provides a right to opt out of certain advertising, sale, sharing, profiling, or similar processing, Ag Women Connect will provide or recognize legally required opt-out mechanisms.

  1. Sale, Sharing & Targeted Advertising

Ag Women Connect does not sell personal information for money as part of its ordinary business model.

Certain privacy laws define “sale,” “sharing,” or “targeted advertising” more broadly than an exchange of information for money. Some advertising, analytics, social-media, embedded-content, or similar technologies may fall within those definitions depending upon how they are configured.

Where applicable law treats such activity as sale, sharing, or targeted advertising, Ag Women Connect will provide legally required notices and opt-out rights.

AWC will not sell sensitive personal data without legally required consent.

  1. Sensitive Personal Information

We do not intentionally request sensitive personal information unless reasonably necessary for a specific service, program, application, legal requirement, or other disclosed purpose.

Information voluntarily provided in personal stories, applications, assistance requests, scholarship materials, communications, or similar submissions may contain sensitive information.

Where applicable law requires consent before processing sensitive personal information, we will obtain that consent.

  1. Children & Minors

General Ag Women Connect membership and website services are not directed to children under 13.

Ag Women Connect Foundation or specific agricultural youth programs may, however, provide scholarships, assistance, recognition, educational opportunities, or other programs involving minors.

When information about a child is intentionally collected, Ag Women Connect or the Foundation will use parental or legal-guardian involvement and consent where required by applicable law and may provide a program-specific privacy notice.

Children under 13 should not independently create accounts or submit personal information through the general website.

  1. How We Disclose Information

Personal information may be disclosed to service providers or other parties that assist us with:

    • website hosting and administration;
    • membership management;
    • customer relationship management;
    • email and communications;
    • payment processing;
    • event administration;
    • analytics;
    • security and fraud prevention;

    • accounting and professional services;
    • shipping and order fulfillment;
    • technology support; and
    • other services necessary to operate Ag Women Connect.

  1. Data Minimization & Retention

Ag Women Connect seeks to retain personal information only as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, accounting, tax, fraud-prevention, contractual, or legal purposes.

Retention periods may vary depending upon the nature of the information and applicable legal requirements.

When information is no longer reasonably necessary, we may delete, anonymize, or securely dispose of it.

Ag Women Connect maintains reasonable administrative, technical, and physical safeguards appropriate to the nature of the information we maintain.

These measures may include access controls, account authentication, software maintenance, backups, security monitoring, vendor management, encryption where appropriate, and limits on employee or contractor access.

No website, database, transmission method, or information system can be guaranteed to be completely secure.

If Ag Women Connect discovers a qualifying security breach involving personal information, we will investigate and provide notifications required by applicable law.

Depending upon where you live and the law applicable to Ag Women Connect, you may have the right to:

    • confirm whether we process your personal information;
    • access personal information we maintain about you;
    • obtain a copy of certain personal information;
    • correct inaccurate information;

    • opt out of certain sharing or targeted advertising;

Ag Women Connect may voluntarily honor reasonable privacy requests even where a particular state privacy statute does not legally require us to do so.

Where required by applicable law and technically applicable to the processing at issue, Ag Women Connect will recognize qualifying browser-based or device-based universal opt-out preference signals.

Ag Women Connect will provide any additional California-specific Notice at Collection or disclosures required when applicable.

Residents of states with applicable comprehensive privacy laws may exercise the privacy rights available under their state’s law.

Nothing in this Policy is intended to limit a non-waivable privacy right granted by applicable law.

You may unsubscribe from promotional email communications using the unsubscribe mechanism contained in the communication or by contacting us.

Transactional, membership, account, security, payment, or other service-related communications may still be sent when reasonably necessary.

  1. Third-Party Websites & Services

Our website may link to businesses, sponsors, government agencies, agricultural resources, social-media services, professional providers, and other third parties.

Ag Women Connect is not responsible for the privacy or security practices of independently operated third-party websites and services.

  1. Ag Women Connect Foundation

Ag Women Connect Foundation is a separate charitable organization where legally incorporated and operated as such.

Information submitted specifically for donations, scholarships, grants, charitable assistance, disaster relief, youth programs, or Foundation programs may be processed by or on behalf of the Foundation rather than Ag Women Connect’s commercial membership operations.

Information will not be transferred between the organizations for unrelated purposes merely because the entities share branding, personnel, technology, or website infrastructure.

We may update this Privacy & Data Use Policy as our services, technologies, or legal obligations change.

The “Last Updated” date will identify the most recent revision.

Material changes will receive additional notice where required by law.
